How to Write a Digital Download Description on Etsy

Write Etsy digital download descriptions that sell — the exact plain-text structure, a filled-in example, file and format rules, and a free template.

a digital download description is a different job

a description for a physical product answers “what is it and when does it ship.” a description for a digital download answers a different, more nervous set of questions: is this a real thing i can touch, or a file? what exactly do i get? how do i open it? can i edit it? can i print it? am i allowed to use it for my business? and — quietly, the big one — will i be able to figure this out, or did i just waste $6?

if your description doesn’t answer those, two bad things happen. ready buyers hesitate and close the tab, and the ones who do buy come back confused, leave a 3-star “couldn’t open the file” review, and tank your listing quality. digital downloads live and die on clarity.

i’ve written a lot of these. below is the exact plain-text structure that works for digital items, a real filled-in example, the file/format facts you have to get right, and a free template you can copy. no fluff.

the first two lines have one extra job

same as any etsy listing, your first two lines get truncated on mobile, feed google’s search snippet, and confirm to etsy’s search what the listing is. but on a digital item they’re also doing damage control: they have to signal digital immediately so nobody buys expecting a parcel.

so line one should hit, in plain words: what it is + the format + “digital download / instant download” + your main keyword phrase.

weak: “Welcome! This beautiful printable is perfect for your home 🏡”

converts: “Boho wall art printable — instant digital download, 5 print sizes (300 DPI JPG). No physical item shipped; print at home or at any photo lab.”

the second one tells the buyer it’s a printable, it’s instant, what they get, and that nothing arrives in the mail — while landing “wall art printable” and “digital download” for search. you’ve answered the panic question before it forms.

the template (copy this)

etsy descriptions are plain text — no bold, no real HTML — so structure comes from line breaks, CAPS mini-headers, and simple bullet characters (• or –). here’s the digital-download skeleton:

[HOOK LINE] — what it is + format + INSTANT/DIGITAL DOWNLOAD + main keyword.
[SECOND LINE] — who it's for + the clear "no physical item is shipped" note.

✦ WHAT YOU'LL RECEIVE
– [exact files: e.g. 1 PDF + 1 PNG], [file type(s)]
– [print sizes / dimensions], [resolution e.g. 300 DPI]
– [color note: RGB for screens, etc.] [language, if relevant]

✦ HOW IT WORKS (INSTANT DOWNLOAD)
1. Buy → Etsy emails you + the files appear under Purchases → Downloads.
2. Download the files to a computer (easier than phone).
3. [Print at home / send to a lab / open in Canva — be specific.]

✦ EDITABLE? / WHAT YOU NEED (only if it's a template)
– [Edit in Canva/Corjl/Templett — free account needed, yes/no.]
– [What you can change: text/colors. What you can't.]

✦ PERFECT FOR
[occasions / uses, comma list with keywords]

✦ TERMS OF USE
– For personal use only. [or: small commercial use allowed — state it.]
– Please don't resell, share, or redistribute the files.

✦ IMPORTANT
– This is a DIGITAL product — nothing is mailed to you.
– Colors may vary slightly by screen and printer.
– Questions before you buy? Message me — happy to help.

eight short blocks. a skimmer gets it in ten seconds; a careful buyer has every objection answered before the cart.

if you’d rather not build this by hand for every file, the Etsy Listing Generator fills this exact digital structure in for you — you describe the download, it returns the title, tags, and a description already slotted into this skeleton. but the template above works fine on its own. use whichever gets the listing live.

a real filled-in example

say you sell a printable budget planner (PDF). here’s the template, completed:

Printable budget planner — instant digital download, undated monthly & weekly PDF you print at home. No physical item shipped.
Perfect for anyone starting to get their money organized without an app or subscription.

✦ WHAT YOU'LL RECEIVE
– 1 PDF, 12 pages: monthly overview, weekly tracker, bill list, savings goals
– Sized for US Letter (8.5x11") AND A4 — print either
– 300 DPI, print-ready, black-and-white friendly to save ink

✦ HOW IT WORKS (INSTANT DOWNLOAD)
1. Buy → Etsy emails you and the file shows under Purchases → Downloads.
2. Download to a computer (the PDF opens in any free PDF reader).
3. Print the pages you want at home, or take the file to a print shop.

✦ PERFECT FOR
Budgeting, debt payoff, paycheck planning, new year reset, gift for a saver

✦ TERMS OF USE
– For your personal use only.
– Please don't resell, share, or redistribute the file. Thank you!

✦ IMPORTANT
– This is a DIGITAL download — nothing is mailed.
– Want it in a different size or color? Message me before ordering.

notice what’s happening: “printable budget planner,” “digital download,” “PDF,” “print at home” all appear naturally — because that’s genuinely how you’d describe it. no stuffing. the keywords are just the honest words for the product.

the digital-only details you have to get right

these are the bits a physical-product guide never tells you, and they’re exactly what causes refund requests:

1. state the file type and count, exactly. “1 PDF + 1 high-res PNG” beats “the files.” etsy currently lets you attach up to 5 files per listing, each up to 20MB — if your file is bigger, you’ll zip it or split it, so tell the buyer what they’re actually getting and in what format.

2. spell out “instant download” vs “made for you.” if etsy delivers the files automatically the moment they pay, say “instant download.” if it’s personalized and you send a proof first, it is NOT instant — say so plainly, or you’ll get angry “where’s my file?” messages while you’re asleep.

3. give print specs for printables. size (8x10, 5x7, A4), resolution (300 DPI prints crisp), and a color note. if it only comes in one size, say it before they buy expecting five.

4. if it’s editable, name the tool. “edit in Canva — free account required” or “personalize in Corjl, no account needed.” say what they can change (text, colors) and what’s locked. a buyer who didn’t realize they needed a Canva login is a 1-star review waiting to happen.

5. set terms of use. one short block: personal use only (or small-commercial if you allow it), no reselling or sharing the files. it won’t stop a determined pirate, but it sets the expectation and protects you.

6. kill the “is this physical?” question. one line: “this is a digital download — nothing is mailed to you.” it feels obvious to you. it is not obvious to a tired buyer at 11pm, and the misunderstanding is a common source of digital refund requests.

why scannable beats clever

people skim before they read. caps mini-headers and bullet lines let a buyer find “how do i download this” in two seconds. dense paragraphs hide it. write benefits, not just features — “black-and-white friendly to save ink” is a benefit; “300 DPI” is a feature; give both, but lead with what the buyer gets out of it.

and write keywords like a human, not a robot. your title and tags do the heavy lifting for etsy’s own search — the description matters more for conversion and for getting your listing indexed by google — but it still helps to drop your main phrase (“printable budget planner,” “wall art digital download”) into the first sentence and once or twice more, naturally. don’t repeat it five times; that reads as spam to buyers and doesn’t earn you anything.

want it done in seconds instead of minutes

the template is free and it genuinely works — copy it, fill it, ship. but if you’re listing twenty printables, writing each description by hand (and re-typing the same download steps and terms every time) gets old fast.

that’s the whole reason the Etsy Listing Generator exists: you paste in a few details about the download — what it is, the file type, the sizes — and it hands back a ready-to-use title, a full tag set, and a description already built on this exact digital-download structure. one-time tool, no subscription. you eyeball it, tweak the print specs to match your actual files, and publish.

either way — by hand with the template above or with the generator — the rule is the same: signal digital in line one, list the exact files, explain how to download them, set the terms, and answer the “is this physical?” question before it’s asked. that’s what turns a digital listing into a sale that doesn’t come back.

Frequently asked

How do I write 'instant download' in an Etsy digital listing?

Put it right in your first line, e.g. 'instant digital download — 1 PDF, print at home.' 'Instant download' only applies when Etsy delivers the files automatically the moment the buyer pays (a standard, non-personalized digital file). If your item is personalized and you send a proof or upload the file manually, it is NOT instant — say 'made for you, delivered within X hours' instead so nobody expects an immediate file.

Should I list the file type and size in the description?

Yes — be exact. Say '1 PDF + 1 high-res PNG' rather than 'the files,' and include print sizes and resolution (e.g. 8x10 at 300 DPI) for printables. Etsy currently allows up to 5 files per listing at a max of 20MB each, so if you've zipped or split files, tell the buyer what they're actually downloading and in what format. Vague file info is a common cause of 'I couldn't open it' reviews.

Do I need a terms-of-use or license line in a digital download description?

It's strongly recommended. Add a short block stating whether the file is for personal use only or whether small-commercial use is allowed, and ask buyers not to resell, share, or redistribute the files. It won't stop a determined pirate, but it sets clear expectations, protects your work, and answers a question commercial buyers genuinely need answered before they purchase.

How long should an Etsy digital download description be?

Long enough to answer every buyer question, short enough to scan — usually around 150 to 300 words. Structure matters more than length: lead with what it is plus 'digital/instant download' in the first two lines, then use short caps-headed blocks (what you'll receive, how to download, terms, 'no physical item shipped') so skimmers and careful readers both get what they need.

Is the Etsy Listing Generator necessary if the template is free?

No — the template works on its own; copy it and ship. The generator just saves time when you're listing many downloads: you describe the file and it returns a title, tags, and a description already built on this digital-download structure, so you don't re-type the same download steps and terms for every product. It's a convenience for volume, not a requirement.
