etsy doesn’t write your policies for you, and the default sections were built with physical products in mind — returns, shipping, exchanges. none of that maps cleanly to a file someone downloads the second they pay. so most digital sellers either leave the policy blank or paste in a wall of returns-and-shipping language that doesn’t apply, and then they spend their week answering the same three messages: “where’s my package,” “can i get a refund,” and “i can’t open the file.”

a good digital policy is really just a wall against those messages. it sets expectations before the sale, kills the “not as described” cases before they open, and tells the buyer exactly what they’re getting and what they can do with it. below is exactly what to include, a copy-paste template, and a filled-in example you can adapt today.

where etsy policies actually live

before the words: you set this in Shop Manager → Settings → Policy settings (it also shows as the “Policies” tab on your public shop page). etsy gives you structured sections — returns & exchanges, payments, a separate privacy policy tab, and an “additional policies and FAQs” free-text box. that free-text box is where most of your digital terms go, because the dropdown sections assume you’re shipping something.

one etsy mechanic worth knowing: an instant download order completes automatically the moment payment clears. there’s no “shipping” step and, for instant downloads, no real cancellation window — the buyer already has the file. that single fact is why your refund language has to be different from a physical shop’s.

the 7 things every digital download policy must cover

skip any of these and you’ve left a hole a buyer will eventually fall through:

1. refund / return stance — digital items can’t be “returned,” so most sellers state all sales are final, while still offering to help with genuine file problems.
2. how delivery works — instant download, available right after payment clears, accessed on the buyer’s Etsy Purchases and reviews page (not emailed as an attachment).
3. what’s included + file formats — list every file type and what opens it. this is the single biggest source of “it doesn’t work” messages.
4. software / printer requirements — if they need Adobe Reader, Canva, Corjl, or a specific program, say so up front.
5. license / usage terms — personal use vs commercial use. for digital, this is the line sellers most often forget and most regret.
6. copyright — the file stays your intellectual property; buyers can’t resell or redistribute the file itself.
7. “no physical item” note — stops the “where’s my package / tracking number?” message cold.

notice it answers every predictable question before it’s asked: how do i get it, what do i need, can i get a refund, can i share it, why does it look different printed. that’s the job.

the line most sellers get wrong: licensing

the refund line gets all the attention, but the license line is the one that actually protects you. “personal use only” and “commercial use” are completely different products to a buyer, and if you don’t say which one you’re selling, you’ll get buyers using a personal-use file on 500 mugs in their own shop — and you’ll have no clean ground to stand on.

decide it once: is this for the buyer’s own use, or can they use it to make and sell physical products? if commercial, state any limits (a max number of finished items, no resale of the file, credit if you want it). you can’t technically stop someone from sharing a file, but a clear, written license is what lets you report infringement and what sets honest expectations on day one.
